Working with the Task List

The Task List view provides a way to see a list of the tasks that have been entered for a particular group.  

Components of the Task List

SORTING
The columns in the Task List are sortable; changing the order in which the tasks appear.

Click on the column header you would like the list sorted by. The sorted column is indicated by an arrow (to the right of the Column Header) pointing up (ascending) or down (descending).

The Task List will be displayed in the order designated by the Sorted Column with the up or down arrow to the right of the Column Header.

  • ID -- List will sort by the Task ID number. Descending will sort with the largest number (more recent) at the top of the list.
  • Mod Date -- List will sort chronologically by the Modified Date. Descending will sort with the newest date at the top.
  • Owner -- List will sort alphabetically (ascending or descending) by the Owner name.
  • Request Type --  List will sort alphabetically (ascending or descending) by Request Type.
  • Project  -- List will sort alphabetically (ascending or descending) by the Project name.
  • Priority -- List will sort by the priority. Ascending will sort with the highest priority/severity level at the top.
  • Subject  --  List will sort alphabetically (ascending or descending) by the Subject field.
  • Assigned To --  List will sort alphabetically (ascending or descending) by the Assigned To field.
  • Status --  List will sort alphabetically (ascending or descending) by the Status field.


FILTERS

Using the Filter feature, the task list may be set to display a subset of tasks entered that meet the specified criteria.  

Status:
Select the status 
Selecting a particular status will filter the list to show only tasks assigned that status once the "Filter" button is clicked.

NOTE: The "Open" status will display all tasks that are designated as "Open" by the group administrator. The default status values that are designated as "Open" are "New Task", "In Progress", "Resubmitted", and "Deferred".
The "Closed" status will display all tasks that are designated as "Closed" by the group administrator. The default status values that are designated as "Closed" are "Complete" and "Cancelled".

Project:
Select the project
Selecting a particular project will filter the list to show only tasks assigned that project once the "Filter" button is clicked.

Show only my tasks:
Checking the "Show only my tasks" box  and hitting the "Filter" button will display only tasks entered by you.

SAVING SETTINGS
You may save the currently selected filters and Sort By options.

Set as Default:
Checking the "Set as default" box and hitting the "Filter" button will preserve the Sort By and Filter options that you currently have set.  These settings will be saved for the next time you use WebTrack.

SEARCH / CLEAR
Using the Search button, you may enter text to search for in the Task List. Only the Subject and Task History fields of the tasks showing the list will be searched for the specified text. If you want to search for a word or phrase in all existing tasks, first set your Filters to "All", hit the "Filter" button, then perform the search.

NOTE: If more than one word is specified, the search will look for the entire phrase rather than the individual words.   

The Clear button will clear the current search.

TASK MANAGEMENT
Editing, Viewing, and Managing file attachments can all be accessed via the Task List.

Managing File attachments:
Clicking on the image in the first column (either a yellow folder or black paper clip) will allow you to attach or delete files associated with the current task.  See Manage Files for more details.

Edit:
The Edit link will switch to the Task Update Form allowing you to enter any new information for the current task.  See Editing an Existing Task for more details.

View:
The View link will switch to the Task Summary Form allowing you to view the details for the current task.  See Viewing an Existing Task for more details.
